NASBO Privacy Policy

At the National Association of State Budget Officers (“NASBO”) we are committed to protecting the privacy of our association members (employees in governors executive branch budget offices), business partners, and others who choose to share personally-identifiable information (PII) with us in the normal course of business.

NASBO’s privacy policy addresses the personal data (i.e. information that could identify you) we collect, how we use that information, and how we aim to protect the information you choose to share with us. Our privacy policy is guided by the following principles:

  • The security of your information is of the utmost importance to us.
  • We limit the collection of personal data to what is volunteered and what is required for legitimate business purposes.
  • We only use your data for the purposes with which it was collected.
  • We do not sell personal data to third parties for profit.
  • NASBO is the data controller for the processing of your Personal Data. When using the NASBO Community, Higher Logic is the Data Controller.


NASBO Community.

By creating a user account, NASBO members automatically join the NASBO Community which enables members to interact with other NASBO members online. NASBO members who choose to use the NASBO Community are prohibited from abusing the directory function and must not share the personal data of others on the NASBO Community without their consent. The NASBO Community platform is supported by our third-party contractor, Higher Logic. In addition to NASBO ’s privacy policy, Higher Logic’s privacy policy also applies when members choose to use the NASBO Community platform.

NASBO does not actively monitor the site for inappropriate postings and does not on its own undertake editorial control of postings. However, in the event that any inappropriate posting is brought to the attention of NASBO we will take all appropriate action.

NASBO reserves the right to terminate access to any user who does not abide by these guidelines.

We disclaim all warranties concerning information posted on this site, whether posted by NASBO or any third party; this disclaimer includes all implied warranties of merchantability and fitness. In no event shall NASBO be liable for any special, indirect, or consequential damages or any damages whatsoever resulting from loss of use, data, or profits, arising out of or in connection with the use or performance of any information posted on this site.

Do not post any defamatory, abusive, profane, threatening, offensive, or illegal materials. Do not post any information or other material protected by copyright without the permission of the copyright owner. By posting material, the posting party warrants and represents that he or she owns the copyright with respect to such material or has received permission from the copyright owner. In addition, the posting party grants NASBO license to display, copy, publish, distribute, transmit, print, and use such information or other material.


What data do we collect?

NASBO collects the following data:

  • Any personal information you provide to us including and similar to; name, address, telephone number and e-mail address.
  • NASBO collects information from our association members, corporate partners, and others who choose to share their information with us.

Data collected will not be sold or rented to any entities or individuals outside of our organization except as noted below.


How do we collect your data?

You directly provide NASBO with most of the data we collect. We collect data and process data when you:

  • sign up for a webinar;
  • register for a conference;
  • sign up for e-publications;
  • or request a product or service offered by NASBO.

Personal data that is collected could include name, email, company name, job title, phone numbers, dietary requirements and/or physical accommodations. We may also ask you for credit card information or similar financial information if you are seeking a paid service like registering for our conferences.


How will we use your data?

NASBO collects your data so that we can:

  • Email you about upcoming meetings, webinars, and conferences.
  • Process your order and manage your account.
  • Email you about NASBO publication releases.
  • Email you about NASBO blogs and other updates on products and services we think you might like.

Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through NASBO’s public job board or members-only community discussion board, this information may be collected and used by others. Note: NASBO does not read any of your private online communications.

When NASBO processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases.


How do we store your data?

NASBO securely stores your data with MemberMax on their MaxCloud using Microsoft Azure Cloud. MaxCloud implements the COSO Internal Control-Integrated Framework to monitor internal controls. MaxCloud’s control environment, including security controls, is evaluated annually by an accredited independent third party assessor to ensure that the control environment is sufficient for the company to meet its security objectives and that the controls are operating effectively. MemberMax protects customer workloads in the Microsoft Azure Cloud through continuous assessment of its security posture, utilizing Microsoft threat detection and intelligence, and automated security policy management.

MemberMax’s processing environment consists of the following technology stack:

  • SQL Services: Windows Server 2019 + SQL Server 2019
  • Application Services: Windows Server 2019 + .NET 4.72
  • File Services: Windows Server 2019

Customer data is stored within SQL Server 2019 databases and on privileged Windows 2019 file shares (for reports and other relevant data exports). Data is encrypted at rest using 256-bit AES FIPS 140-2 compliant data encryption.

NASBO does not store credit card information.


Marketing

NASBO would like to send you information about products and services of ours that we think you might like. By creating a user account, you have agreed to receive marketing communications; you may always opt-out at a later date.


What are your data protection rights?

NASBO would like to make sure you are fully aware of all of your data protection rights per the General Data Protection Regulation (EU GDPR). Subject to applicable law, users are entitled to the following:

The right to access – You have the right to request NASBO for copies of your personal data. We may charge you a small fee for this service.

The right to rectification – You have the right to request that NASBO correct any information you believe is inaccurate. You also have the right to request NASBO to complete the information you believe is incomplete.

The right to erasure – You have the right to request that NASBO erase your personal data, under certain conditions.

The right to restrict processing – You have the right to request that NASBO restrict the processing of your personal data, under certain conditions.

The right to object to processing – You have the right to object to NASBO’s processing of your personal data, under certain conditions.

The right to data portability – You have the right to request that NASBO transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Refund/Cancellation Policies

Cancellation requests must be received in writing by 5:00 p.m. eastern time on the cancellation date deadline, which is two weeks prior to the meeting start date.  Cancellations made on or before two weeks prior to the meeting start date will be refunded, minus a $50 administrative processing fee.  No refunds will be made for cancellations made after the deadline, or for conference no-shows.  If you cancel after the deadline and have not prepaid your registration fee, NASBO will bill you for your entire fee. 

Substitutions are accepted at any time at no additional charge. 

The registration fee will be refunded approximately 30 days after the meeting – either by check or credit card, depending on the method of payment.

Cancellations will be accepted in writing or via email.

All refund requests must be made by the registrant, organization’s primary contact or credit cardholder.


Event Cancellation/Refund

NASBO reserves the right to cancel an event.

Should circumstances arise that result in the postponement of an event, NASBO will issue a full refund.
